USER AND MAINTENANCE MANUAL (Original Instructions)

MACHINERY

As required by the general and sectorial technical legislation, each machine must be accompanied by what are known as the Original Instructions. Our aim is to provide a complete User and Maintenance Manual, edited using the appropriate technical language.
The content of each manual prepared by us considers the level of general training and the insight that can reasonably be expected from the operators (installer, user, maintenance technician, supervisor,..). The preparation of a User and Maintenance Manual is a complex operation, which requires specific technical and legal knowledge.

The standards and European directives impose minimum content requirements; therefore, the preparation of an instruction manual is an operation that must be performed with extreme precision.
All the User and Maintenance Manuals are provided with an EC Declaration of Conformity updated with the applicable general and sector-specific Community directives and harmonised standards for the specific category (where required).

USER AND MAINTENANCE MANUAL (Original Instructions)

COMPLEX PLANT

Our activity also includes the category of complex plants, i.e. plants consisting of several machines, partly completed machines, equipment built directly by you and often integrated with other machines, partly completed machines, equipment built by your suppliers or supply partners.

It is often the case that the Manufacturer of complex plants has difficulty managing the information and documents it receives from its suppliers (manuals, declarations,…) and very often they do not know how to deal with their client as doubts arise as to how to prepare the final documentation that should be delivered to the client.

As a result, many doubts may arise, such as for example:

  • Does a single manual have to be produced for the whole plant?
  • What documentation should I request from my suppliers?
  • Does the plant’s Risk Assessment only cover my products?
  • Is the CE marking unique for the entire plant or must each piece of machinery be marked?

…and many more… which often create confusion and disorganisation, wasting time and taking working hours away from your Technical Department.

BALLARIN manages the organisation of the activities that lead to the preparation of the plant manual completely independently. We collaborate with your technical staff to develop a compact manual that satisfies the essential safety requirements according to the relevant Community directives.
With our Technical Support we help you to obtain the answers and clarification you need to build safe machinery.

USER AND MAINTENANCE MANUAL

REVAMPING MACHINERY AND COMPLETE PLANTS

The User and Maintenance Manual for a piece of machinery or a complete plant subjected to revamping involves the preparation of dedicated technical documentation.
Often the accompanying documentation for old machines has been lost, and it can no longer be recovered.
Or the available documentation is not compliant with the current state of the technical standards that are in force.

In this case our activity is aimed at:

  • Reconstructing the essential documentation (drawing up the instructions, drafting the Risk Assessment and the EC Declaration of Conformity)
  • Verifying that the installation complies with the essential safety requirements set out in the Machinery Directive 2006/42/EC and other applicable EU directives
  • Collaborating with your technical staff to obtain the safety level suitable for operating the plant

Particular provisions must be followed for the overhaul of machines and plants dating back to before 1996 and consequently, as required by Italian national law, for the drafting of the Instructions, Risk Assessment and Declaration of Conformity (Legislative Decree no. 81/2008).

ASSEMBLY INSTRUCTIONS

PARTLY COMPLETED MACHINERY

The Assembly Instructions represent a category of instructions different from the User and Maintenance Manual prepared for the machinery.

For this new type of standard introduced by the Machinery Directive 2006/42/EC specific instructions must be dedicated, as well as important technical precautions for managing the incorporation process of the partly completed machinery into the user’s machinery.

The Assembly Instructions are supplied with a Declaration of Incorporation containing the list of the Essential Safety Requirements (DM 2006/42/EC) that have been met and the legal information required by the EU directive.

ERECTION MANUAL

PLANTS, MACHINES

The Erection Manual is a document that can be developed for certain categories of products, usually machines and complex plants that require specific instructions and procedures for the mechanical and system installation phases.

The Erection Manual is a document accompanying the User and Maintenance Manual and is never a substitute.

INSTRUCTIONS FOR USE

EQUIPMENT AND DEVICES

The preparation of the technical documentation also extends to products such as newly-constructed equipment and devices.
The project of the Instructions for Use is customised both in terms of graphics and content based on your requests.
A properly structured Instruction manual instils safety, reliability and quality for your products.

Among our services, BALLARIN offers multilingual manuals, such as for example:

  • Multi-column manual:
each page is divided into several lines or columns corresponding to each desired language to obtain an instantaneous and comparable overview of the multilingual text.
  • Ordered manual:
sequential predisposition of the text. The instructions follow a pre-set order (e.g.: Italian, English, French, Russian version…)

EASY START (QUICK START GUIDES)

MACHINERY, PARTLY COMPLETED MACHINERY, EQUIPMENT AND DEVICES

The EASY START guide is a concise document, which generally consists of a few pages, that is designed to enable the operator to set up the machine, equipment or apparatus quickly and easily.

The EASY START guide represents ancillary documentation to the traditional instructions.

The operator can safely start and operate the machine in just a few simple steps thanks to the EASY START guide.

The EASY START guide may be produced in paper or CD-ROM format so that it can be inserted in or attached to the Instructions that are usually provided, or supplied separately as a stand-alone document.

ADVANCED DOCUMENT REVERSE ENGINEERING

The Advanced Document Reverse Engineering service mainly consists of the Manual reconstruction of a piece of machinery that is already in place (usually old) where the original instruction manual is missing.

Often the very elderly pieces of machinery have no accompanying manual and any sort of documentation as over the years, with the potential for company relocations or machinery handlings, the probability of losing the documentation rises.
How can it be recovered if the original manufacturer no longer exists and therefore it is not possible to request it?
Thanks to an analytic study of the machinery conducted by our experts, the Advanced Document Reverse Engineering service allows all the information necessary for a proper machinery use and maintenance to be reconstructed, and insert this into a new dedicated manual that fulfils the desired regulatory requirements.
